1. Introduction and Acceptance
These Terms and Conditions govern the relationship between iceweavesog (hereinafter "Company," "we," "us," or "our") and individuals or entities ("Client," "you," or "your") engaging with our winter tourism services.
By submitting an inquiry, making a booking, or participating in any of our journeys, you acknowledge that you have read, understood, and agree to be bound by these terms. If you do not agree with any provision, please do not proceed with booking.
2. Definitions
- "Services" refers to all winter tourism journeys, consultations, and related travel arrangements provided by iceweavesog
- "Journey" means any of our organized travel experiences to Poland, Bavaria, or Mongolia
- "Traveler" means any individual participating in a journey
- "Booking" refers to confirmed reservation of services following deposit payment
- "Agreement" means these Terms and Conditions plus any specific journey documentation
3. Eligibility and Requirements
Age Requirements
Travelers must be at least 18 years of age or accompanied by a parent or legal guardian. For journeys involving physically demanding activities or extreme conditions, minimum age requirements may be higher and will be specified in journey documentation.
Physical and Medical Fitness
Travelers must possess adequate physical fitness for journey activities. You are required to disclose any medical conditions that may affect your ability to participate safely. We reserve the right to require medical clearance for certain journeys.
Travel Documentation
You are responsible for obtaining and maintaining valid passports, visas, and any required travel authorizations. We provide guidance but assume no responsibility for denied entry due to inadequate documentation.
4. Booking Process
Inquiry and Consultation
Initial inquiries do not constitute bookings. We provide consultations to help you select appropriate journeys based on your interests, capabilities, and preferences.
Confirmation
Bookings are confirmed only upon receipt of the required deposit and signed booking agreement. Confirmation does not guarantee specific accommodations or activities if journey details remain subject to final arrangement.
Accuracy of Information
You are responsible for providing accurate and complete information. Errors in names, dates, or other critical details may result in additional costs or journey complications.
5. Payment Terms
Currency and Pricing
All prices are listed in Singapore Dollars (SGD) unless otherwise specified. Prices are subject to change until booking is confirmed with deposit payment.
Payment Schedule
- Deposit: 30% of total journey cost due at booking
- Balance: Due 60 days prior to journey departure
- Bookings made within 60 days of departure require full payment
Accepted Payment Methods
We accept bank transfers, major credit cards, and PayNow. Credit card payments may incur a processing fee. All payments must clear before journey commencement.
Taxes
Prices include applicable Singapore taxes. You are responsible for any taxes levied by destination countries or your home jurisdiction.
6. Cancellation and Refund Policy
Cancellation by Traveler
- 90+ days before departure: Full refund minus SGD 200 administrative fee
- 60-89 days before departure: 50% refund of total journey cost
- 30-59 days before departure: 25% refund of total journey cost
- Less than 30 days before departure: No refund
Cancellation requests must be submitted in writing to [email protected]. Refunds are processed within 30 business days of approved cancellation.
Cancellation by Company
We reserve the right to cancel journeys due to insufficient enrollment, force majeure, or safety concerns. In such cases, you will receive a full refund or credit toward a future journey. We are not liable for any incidental costs incurred (flights, accommodation booked independently, etc.).
Travel Insurance
We strongly recommend comprehensive travel insurance covering trip cancellation, medical expenses, and emergency evacuation. Insurance costs are non-refundable.
7. Itinerary and Service Changes
While we make every effort to adhere to published itineraries, journey details may change due to weather conditions, local circumstances, safety considerations, or factors beyond our control. We reserve the right to modify itineraries, substitute accommodations, or adjust activities as necessary.
Significant changes will be communicated as soon as possible. Minor adjustments made during journeys to enhance experience or ensure safety do not constitute grounds for refund or compensation.
We are not liable for delays, interruptions, or modifications resulting from circumstances outside our reasonable control, including but not limited to: natural disasters, political instability, transportation failures, or health emergencies.

- Ground transportation during the journey
- Meals as listed in itinerary
- Activities and entrance fees as specified
- Professional guide services throughout
- Pre-journey preparation materials
Excluded
- International flights to/from journey starting point
- Travel insurance
- Visa fees and passport costs
- Personal expenses (laundry, phone calls, souvenirs)
- Meals not specified in itinerary
- Gratuities for guides and service staff
- Medical expenses and medications
- Optional activities not included in standard itinerary
9. Traveler Responsibilities
- Arrive at designated meeting points on time
- Follow guide instructions regarding safety and cultural protocols
- Respect local customs, laws, and communities
- Maintain appropriate travel insurance throughout the journey
- Take reasonable care of personal belongings
- Notify guides immediately of any health or safety concerns
- Behavior that endangers others or violates local laws may result in removal from the journey without refund
10. Liability and Disclaimers
Service Provision
Services are provided "as is" to the best of our ability. While we vet all partners and maintain quality standards, we act as organizers and are not directly responsible for the performance of third-party service providers (accommodations, transportation, activities).
Limitation of Liability
To the maximum extent permitted by law, our liability is limited to the total amount paid for services. We are not liable for:
- Indirect, consequential, or punitive damages
- Personal injury, illness, or death except where caused by our gross negligence
- Loss or damage to personal property
- Delays or changes beyond our control
- Acts or omissions of third-party providers
Assumption of Risk
Cold-weather travel and outdoor activities carry inherent risks. By participating, you acknowledge these risks and agree to hold us harmless except in cases of gross negligence or willful misconduct.
11. Intellectual Property
All content on our website, marketing materials, and journey documentation—including text, images, logos, and itinerary designs—is our intellectual property or used with permission.
You may not reproduce, distribute, or use our content for commercial purposes without written permission. Photography during journeys is permitted for personal use; commercial use requires advance approval.
12. Dispute Resolution
Informal Resolution
We encourage travelers to raise concerns during journeys so we can address them promptly. Post-journey complaints should be submitted in writing within 30 days.
Mediation
If informal resolution fails, both parties agree to attempt mediation before pursuing legal action.
Jurisdiction
These terms are governed by the laws of Singapore. Any disputes will be subject to the exclusive jurisdiction of Singapore courts.
Applicable Law
Singapore law governs this agreement. Where conflicts arise between these terms and local laws in destination countries, local laws prevail regarding matters within those jurisdictions.
13. Privacy and Data Protection
Personal information is collected and used in accordance with our Privacy Policy. By accepting these terms, you consent to data processing as described in that policy. Please review our Privacy Policy for complete details.
14. General Provisions
Entire Agreement
These terms, together with any specific journey documentation and booking confirmations, constitute the entire agreement between parties.
Severability
If any provision is found unenforceable, remaining provisions remain in full effect.
No Waiver
Our failure to enforce any right or provision does not constitute waiver of that right.
Assignment
You may not transfer or assign your booking without our written consent. We may assign our rights and obligations to another entity with notification to you.
Modifications
We reserve the right to modify these terms. Material changes will be communicated to clients with confirmed bookings. Continued use of services after changes constitutes acceptance.
